Managing and Customizing User Licenses

Situation You want to review or customize your license services, or upgrade or downgrade your package.
Solution

See below for information on what features you can customize regarding your license, and how to:

  • Add/Decrease User Licenses (restricted to Channel Admin roles or higher)
  • Enable User Capping

Please note that there are restrictions on access for this section (see below). If you do not have access (i.e. tab is not available), please contact your reseller or account manager for any form of licensing change.

 

Licensing

Proofpoint Essentials is available in 4 versions:

  • Beginner
  • Business
  • Advanced
  • Professional

Features Customization

Each company is interested in different Proofpoint Essentials services, so when selecting the package type, you are able to choose the appropriate features and modules for your needs.  You can upgrade, downgrade or change an Customer's package by following the instructions below after navigating to Administration > Account Management > Licensing & Billing:

What takes a User License?

  • An active user takes a user license.
  • An inactive user does not take a license.
  • A functional account does not take a license.

Adding / Decreasing Users’ licenses

This is restricted to roles of Channel admin or higher.

  1. Under User Licenses, click Manage.
  2. Update the value in the Licensed Users text field.
  3. Click Update Licenses.

If additional users are added, your Billing and Technical contact will be informed of the change.

Enable User capping

Enabling this feature will not allow customers to add users above the number in the license field. This is useful for partners who sell an annual prepaid agreement and do not want to be billed for any users above that licensed amount. It forces the customer to contact the partner to order more licenses and be able to add them to the system.

  1. Under User Licenses, click Manage.
  2. Choose the appropriate options you wish to enable.
  3. Click Update Licenses.

Exceeding license Notification

Enabling this feature will send an email notification to a designated contact if a customer has exceed their license count.
To enable this please follow steps below.

  1. Go to a customer account
  2. Click on Account Management > License & Billing
  3. Click Manage
  4. Tick checkbox: Send an email to designated contact if customer has exceeded the licensed users
    enter email address for the notification, click Add
    Verify you can see the email address is added under Notification Recipients
  5. Set Notification Frequency
  6. Click Update Licenses

Upgrading / DOWNGRADING

  1. Under Products, and within the Email Security product, click the ellipsis icon and select Manage Package.
  2. Select the appropriate package.
  3. Click Continue.
  • A customer can trial a higher or lower package for 30 days. At the end of 30 days, the account will revert back to the original package unless confirmed.
  • A customer can trial a package once every 60 days.

Renewal Status

Renewal information can be found by navigating to Account Management > Profile > Products Overview Panel

You can review your current License Version, Licensed Users, Activation information, Renewal Date, and Time Left Until Renewal. 

Please Note: If your Time Left Until Renewal has a negative number, it is highly suggested to contact your source for ordering Proofpoint Essentials to verify all renewal processes are complete. If an account goes too long without renewal, it will be subject for suspension and accounts being disabled. This will impact mail flow for the domain should the account fail to renew.

Also when renewing, Proofpoint Essentials resets the maximum license count to the number of Active Users, this way you are only charged for what you are actually using.
